A copy-and-paste website brief to send providers, so the quotes you get are accurate, comparable and based on what your business actually needs built.A clear brief gets you better, more comparable quotes and fewer misunderstandings. Copy the template below into an email or document, fill it in, and send the same version to each provider you contact.
Why a brief helps
- Providers quote against the same scope, so prices are comparable.
- You find gaps in your own thinking before spending money.
- It reduces back-and-forth and project delays.

Tips for filling it in
- Be specific about the goal. “More enquiries from homeowners in the East” is more useful than “a nicer website”.
- Give a budget range. Providers can then propose something realistic instead of guessing. If you are unsure, see the cost guide.
- Be honest about content. If you will not write the text or supply photos, say so; it changes the scope.
- Include examples. Links to sites you like communicate more than adjectives.
- Mention the personal data you collect. If forms collect personal data, ask the provider how consent and privacy wording will be handled. For PDPA, check current PDPC guidance.
Vague brief versus clear brief
| Vague | Clear | |
|---|---|---|
| Goal | A nicer website | More enquiries from homeowners in the East |
| Budget | Not stated | A range providers can work with |
| Design | Adjectives only | Links to sites you like |
| Content | Assumed | Stated who provides text and photos |
What a good response should include
- A written scope listing pages and features
- Timeline with milestones and what they need from you
- What is and is not included (revisions, content, photography, SEO setup)
- Ongoing costs: hosting, maintenance, renewals
- Who owns the domain, design and content
